HOA Board Meeting Minutes

* Meeting was called to order by Steve Briggs, President of the Board at 7:02PM. 3 Board members were present, providing a quorum; Steve Briggs- President; Marci Martin-VP; Cliff Reiss-Treasurer. Five households were present for this 12-12-06 Board Meeting.

  1. Old Business
  2. * Minutes from the November meeting were read by Steve Briggs. Motion to accept by Marci Martin, seconded by Cliff Reiss. Approved

    Everyone that has a shed is currently in violation. The amendment does not allow metal or vinyl sheds in the community. The amendment will set the requirements for Shed and Storm Doors. Marci Martin will file the amendment this week with Hillsborough County.

    Violation letter for Lot #35 was sent; corrections to lot violations have not been made. Homeowner from Lot #35 responded in a letter to the Board requesting relief from the violation. Board voted to send the issue to the arbitration committee. Arbitration committee will meet with homeowner at Marci Martin’s house on December 23, 2006 to reach a resolution.

    Lot # 44 requested the installation of a shed on their lot. The request was denied by the ACC. The homeowner proceeded to install the non-compliant shed. Violation letter for Lot # 44 will be sent.

    New home under construction Lot #24 will be moving the port-o-john in 3 weeks. Steve Briggs will discuss with builder the color of the garage door is required to be the same color of the base of the house. *Due to the removal of the large trees to build the home on Lot #24, the builder has an option to plant several trees or pay a fee. Builder has offered to install trees in the common area for the community. The 2007 HOA Board will need to work with the builder in the following year to determine location of tree installation.

  3. Standing Committee
  4. Treasurer gave his report. Community has $11,023.40 balance in the bank. Annual assessments are due January 1, 2007. Late fees will be assessed after January 31, 2007. * Motion to accept the minutes by Marci Martin, seconded by Cliff Reiss. Approved

    ACC Report presented by Denise Briggs. No outstanding requests for ACC review. Majority of the requests processed this year were for fences. *Motion to accept the report by Marci Martin, seconded by Cliff Reiss. Approved

  5. Annual Elections
  6. Community Board election criteria in the CC&Rs was reviewed by the attorney, Richard Kosan. The attorney’s interpretation is that only 10% of the homeowners are necessary to have a quorum for the elections of the Board. The 2007 Board elections held last month were deemed valid. The 2007 HOA Board members are as follows: David Flynn- President, Marci Martin- Vice President, Cliff Reiss-Treasurer, Deana Davis-At Large, Amy Perez- Secretary.

    2007 Board meetings will be held on third Tuesday of the month. Meetings will be held quarterly with the ability to hold monthly meetings as needed. It is anticipated that the Board will meet monthly during the first 3 months this year.

  7. New Business
  8. Cliff Reiss, Amy Perez, and Deana Davis interviewed attorney, Richard Kosan. Mr. Kosan gave his background and experience in HOA matters. Mr. Kosan gave opinions on outstanding HOA issues such as Board elections and processing of fines. The interviewees were pleased with Mr. Kosan’s knowledge and recommended to the Board to have Mr. Kosan be our community attorney. No retainer fees are required but a retainer agreement will be required.

  9. Open Discussion to Community

Cliff Reiss will maintain the website. * Motion to renew the website presented by Cliff Reiss, Marci Martin seconded, approved.

Cliff Reiss reported the lights at the entrance are operational.

Denise Briggs identified the need for additional electrical outlets for frontage along McMullen Loop to install holiday lights.

Thanks to John and Kristy Pollock for donating and installing the poinsettias and holiday lights at the entrance to the community.

*Being no further business, the meeting was adjourned at 7:35PM. Motion to adjourn Cliff Reiss, Marci Martin seconded, approved.

Next HOA Meeting is Tuesday, January 16,2007 at 7:00 pm at the Riverview Civic Center. * Meeting actually held on January 25, 2007.
